Administration

Everything members, trainers, zone bosses and the board can do on this website.

Most of what keeps the shop running happens on these pages. None of them needs a password: you prove who you are with the email on your member record, and sometimes the last two digits of your member code (for example 05 for CGW-05). Anything that changes a record comes back to you as an email with a link or a button.

Zone budgets and purchase requests

Zone budgets shows what each zone has been given (and how much of that came from training fees), has spent, has waiting, and has left. Anyone can look; it shows no names.

Zone bosses and the board use the same page to spend it. Press Submit request for purchase, then:

  1. Type your email and the last two digits of your member code.
  2. Pick the zone the money is for. That zone’s budget pays.
  3. Choose Reimburse me if you already bought it (attach the receipt, within 60 days) or Request for purchase if you want the treasurer to buy it: give the web link and price of each item, and press + Add another item for more. Prices are an estimate: shipping, tax and other fees may be added, and the treasurer records the final amount from the order receipt. That final amount is what comes out of the zone’s budget.
  4. Say what it is and why the zone needs it, and send it. You get a reference like PR-0012 and an email.

Who approves, by email:

  • The treasurer, every request.
  • The president too, over $100 or over what the zone has left.
  • That zone’s boss too, when you file for a zone you are not the boss of. For example, the Metalworking boss who bought clamps for the woodshop files for Woodworking; the Woodworking boss approves, Woodworking’s budget pays, and the Metalworking boss is paid back.

Nobody approves their own request. You get an email when it is approved, or turned down with the reason, and again when the treasurer has paid you back or ordered it.

Free classes

  • Free classes: anyone can save a seat at a free class with their name and email, and tick a box to hear about CGW events. They get a confirmation, a reminder the day before, and a link to give the seat back.
  • Running a class? The classes lead (or an officer) makes it in Dolibarr, under Members, Free classes: pick a date of the monthly City of Columbia series (first Tuesday, 6 to 8 PM) or set up an extra class at any time, then give it a name, a description and a class size. It goes onto the calendar, the website and Discord by itself, and sign-ups close when it is full. The instructor gets the list of who is coming the day before. Cancelling it takes it off the calendar and emails everyone signed up.

Trainings

  • What am I trained on?: type your email to see the tools you are signed off on.
  • Book a training: pick the tool, a trainer and a time, and pay to hold your seat. Members pay half.
  • Trainers: train someone now. On Book a training, press I’m a trainer: train someone now and type your own email. You get a link (good for 2 hours) where you pick the tool and type the trainee’s email. They confirm, sign the waiver and pay; then you record the training from your email. An unpaid request expires after 4 hours.
  • Class sign-in: at a group class, scan the trainer’s QR code or type the class code.

Voting

Member voting explains the annual meeting and the ballot. Full members get a personal ballot link by email; if yours is lost, type your email and the last two digits of your member code there to get it again.

Membership

  • Join: sign the waiver and membership agreement, upload a photo ID and set up dues, in about ten minutes.
  • Membership: what a membership includes and what it costs.
  • Something wrong with your record or your dues? Use the contact form.

New tools for members will be listed here as they are added.
